HR and Payroll Software for 800-Person Organisation
A bespoke HR and payroll system replacing manual processes for an organisation with 800 employees across three sites — with full local tax compliance.
Managing payroll for 800 employees across three locations using spreadsheets and a decade-old desktop application was creating serious risk for this food manufacturing company. Month-end payroll was taking 12 days and contained regular errors that required manual corrections.
The bigger problem: no system of record for employee data. Contracts, appraisals, leave records, and disciplinary matters were stored in filing cabinets and personal folders. HR visibility into the workforce was minimal.
What We Built
Employee Records System: A complete digital employee database covering personal information, contract details, job history, performance reviews, and document storage. HR managers have full visibility and can generate compliance reports in minutes.
Leave Management: A self-service portal where employees request leave, managers approve it, and the system automatically reflects balances. Eliminated 100% of leave-related administrative queries to HR.
Payroll Engine: A fully automated payroll system that calculates salaries, deductions, EOBI contributions, and income tax according to current Pakistan FBR regulations. Payslips are generated automatically and distributed via the system. Month-end payroll now takes two days instead of twelve.
Mobile App for Employees: A simple mobile application for employees to view payslips, check leave balances, and submit requests. Available in English and Urdu.
Compliance Reporting: Built-in reports for EOBI, PESSI, and FBR requirements. One-click generation of returns that previously required a full day of manual calculation.
The Result
The client reported saving approximately PKR 4.2 million annually in operational costs — primarily from reduced HR headcount requirements and elimination of payroll errors. The system paid for itself in under eight months.
